The Office Administrator (OA) will report to the Firm’s Director of Administration and work closely with the Office Managing Partner, Chief Operating Officer and administrative department heads to manage the day-to-day operations of this 375+ employee office in compliance with the policies and procedures of the firm. The successful OA will ensure peak operating efficiency, embrace the firm’s cultural values, and facilitate office growth while maintaining excellent relationships and communications with all firm personnel, clients, landlords, and outside vendors through a variety of responsibilities.

Responsibilities include, but are not limited to:

  • Takes a lead role in the offices’ upcoming relocation to include decommissioning and move, space setup, and other relevant areas
  • Oversees office operations including, but not limited to: Working with Legal Support Manager, and Office Services and Facilities Manager to maintain landlord relations, administrative staffing, workflow processes, business equipment, office supplies, inventory control, reception, office services, facilities, space allocation, office safety, business continuity, and special projects as needed
  • Partners with Human Resources and Legal Support Manager, and Office Services and Facilities Manager for the recruitment of administrative support staff which may include reviewing of resumes, interviewing, hiring and on-boarding
  • Trains, supervises, counsels and allocates office personnel. Supervises the performance of facilities, office services, reception, and certain other support staff which may include paralegals, legal secretaries/executive assistants in conjunction with Human Resources and Legal Support Manager, and Office Services and Facilities Manager; Conducts performance evaluations and salary discussions and administers disciplinary action as needed
  • Assists with the successful integration of new attorneys and policy professionals. Facilitates arrival and departure processes; manages workflow, operations and employee relations
  • Deploys innovative staffing and facilities solutions intended to utilize resources to their highest and best potential. Provides input into flex-commute and other policies
  • Establishes and manages the office budget for the departments and functions supervised.
  • Partners with the security and information technology team to maintain and improve our physical security controls
  • Participates in management meetings and communicates effectively with the firm leadership, the practice, and our professional staff in regards to updates, changes, new developments and other relevant issues impacting the office

The successful candidate will possess the following:

  • Bachelors' degree in business administration or related field or an equivalent combination of education and/or work experience
  • A minimum of seven years of experience in law firm management with demonstrated leadership skills in human resources, facilities and financial management
  • Experience in managing large office renovation projects, expansions and moves
  • Strong management ability, including written/oral communication and interpersonal skills required to effectively interact with all firm personnel, clients, and vendors
  • Ability to exercise sound judgment, discretion and foster positive and professional working relationships a must
  • Ability to successfully motivate and develop the administrative team and build/maintain office morale
  • Strong supervisory, organizational and project management skills with great attention to detail. Ability to prioritize, multi-task and work well in a high volume/fast-paced environment

Brownstein Hyatt Farber Schreck offers a benefits package that includes medical, dental, vision, 401k + match, profit sharing, and vacation/sick/personal time off.  We are offering a wide range salary for this role as our salary will match up with the years of experience the successful candidate possesses, ranging from $125,000 - $140,000.
